PrimeMind, Inc. provides a comprehensive mental development ecosystem for athletes, coaches, teams, and parents. This policy explains how we collect, use, protect, retain, and delete personal information through the PrimeMind website, mobile app, accounts, memberships, and assessments.

Information We Collect

Account and registration information

We collect information needed to establish accounts and provide access. Depending on the service, this may include your name, email address, username, password credentials, audience or user type, age, gender, sport, participation level, location, and Sports Program ID.

Parents or guardians provide the information needed to establish a shared family account and complete the required parental permission process.

Assessment information

Assessments collect responses and generate scores, reports, and recommendations. Responses may concern mental performance, well-being, mental health, coaching, parenting, team experiences, or injury and rehabilitation. Assessment information associated with an identifiable person may be sensitive.

Payment information

Payment providers process purchases securely. PrimeMind maintains membership status and relevant transaction records but does not store full payment-card numbers or security codes.

Technical, usage, and support information

We may collect IP addresses, device or browser information, resource usage, and error records needed to operate, secure, and improve PrimeMind. If you contact us, we receive the information you include in your message.

How We Use Information

We use information to:

  • Create and manage accounts and membership access.

  • Verify email addresses and required parent permission.

  • Generate and deliver assessment results.

  • Administer purchases and memberships.

  • Respond to support and information requests.

  • Improve content and functionality.

  • Protect the service and prevent misuse.

  • Meet applicable legal and accounting obligations.

We collect only information reasonably necessary for these purposes.

Assessment Storage, Access, and Delivery

Assessment responses and results are collected through Microsoft Forms and stored in Excel workbooks in Microsoft OneDrive. Microsoft Power Automate supports assessment processing, report generation, and delivery.

Access to assessment databases is restricted to Dr. Jim Taylor and specifically authorized personnel or service accounts needed to operate PrimeMind. Users receive their own reports rather than access to databases containing other users’ records.

Reports are delivered to the recipient designated by the user or their parent or guardian. Identifiable assessment results are not provided to a coach, team, sports program, or another user without appropriate authorization.

Temporary report files and delivery copies are removed when no longer needed. We limit the assessment information retained in operational logs and apply the retention and deletion procedures described below.

Service Providers and Information Sharing

Providers supporting hosting, security, payments, analytics, Microsoft assessment services, and email delivery handle information needed to perform those services. This includes storing, transmitting, and processing information. We restrict provider access and use through appropriate arrangements.

PrimeMind does not sell personal information or disclose it to third parties for their own marketing purposes. We do not use children’s personal information for targeted advertising.

We may disclose limited information when required by law or reasonably necessary to prevent fraud, protect the service, or protect legal rights.

If you choose to share your report or follow a link to another service, that recipient’s or service’s handling of information is governed by its own practices.

Cookies and Analytics

Necessary cookies and similar technologies support login, security, and preferences. Basic analytics help us understand and improve PrimeMind.

For services used by children under 13, technical collection is limited to what is permitted for operating and supporting the service, or otherwise requires appropriate parental consent.

You can manage cookies through your browser settings. Blocking necessary cookies may affect account access or functionality.

Retention and Deletion

Assessment responses, scores, and reports are retained for no more than 12 calendar months after each submission to provide results and support progress comparisons.

Applicable active assessment records are deleted sooner, within 30 days of a verified deletion request, withdrawal of parent permission, or the end of account access, whichever occurs first, unless a specific legal obligation requires a limited record to be retained.

Temporary report files and email-delivery copies are not retained as an ongoing archive.

Restricted recovery or backup copies remaining after active deletion expire within no more than 90 days. They are not used for ordinary access. If a backup is restored, prior deletion requests are reapplied.

Incomplete new registrations awaiting verification or parent permission are removed after 30 days, unless the account has a paid membership or another documented purpose.

Necessary billing, security, support, and minimal consent records may be retained separately for a documented legal, accounting, or operational purpose. Assessment answers are not retained merely because an unrelated billing record must be kept.

Your Information Requests

You may request access to, correction of, or deletion of your personal information by emailing jim@drjimtaylor.com. Identify your account and the information involved.

We verify the requester’s identity before disclosing or deleting personal information and explain any applicable limits.

Account-deletion requests include relevant assessment information held across PrimeMind’s systems.

Deleting an account and cancelling a paid subscription are separate actions. Purchases or subscriptions managed by Apple or another payment provider may require cancellation through that provider.

Children Under 13 and Parent Permission

A parent or legal guardian creates and manages a family account for a child under 13.

Before collecting personal information from the child, we provide a direct parental notice describing the information collected, its purposes, service providers or disclosures, retention, and parent rights. We obtain verifiable parental consent using a method appropriate to those practices.

A family purchase or registration checkbox alone is not treated as completed verification.

Parents or guardians may:

  • Review their child’s personal information.

  • Request correction or deletion.

  • Withdraw permission.

  • Refuse further collection or use.

Contact jim@drjimtaylor.com to exercise these rights.

Because PrimeMind family members share an account, withdrawal of permission can disable access through that family account while the request is handled.

We do not require children to provide more personal information than is reasonably necessary for an activity. Material changes that expand the collection, use, or disclosure of children’s information require appropriate parental notice and renewed consent where required.

Security

We use reasonable safeguards designed to protect personal information, including restricted access and controls appropriate to the information involved.

No method of electronic transmission or storage is completely secure.

Educational Purpose

PrimeMind provides educational resources for mental performance, well-being, and mental health awareness. Its content and assessments do not provide mental health diagnosis or treatment.

Policy Updates

We may update this policy as our services or information practices change. The policy displays its effective date. We provide notice of material changes where required.
